Privacy Policy — Multi Manager

Multi Manager ("we," "us," or "our"), operated by BaceBuilt, provides property, community, and facility management software at multimanager.ai (the "Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.

1. Information We Collect

Account information — name, email address, phone number, company name, and billing address you provide when you sign up.
Property & operations data — information you or your organization enter into the Service, such as properties, units, homes, residents, homeowners, tenants, vendors, work orders, violations, and reservations. This may include names, email addresses, and phone numbers of the people your organization manages or works with.
Payment information — processed by Stripe. We never store full card numbers on our servers.
Usage data — log data such as IP address, browser type, and pages visited, used for security and to improve the Service.

2. How We Use Information

To provide, maintain, and improve the Service.
To send transactional communications — account emails, work order dispatches, reservation confirmations, violation notices, and similar operational messages.
To process subscription payments and manage your account.
To respond to support requests.
To protect the security and integrity of the Service.

3. Text Messaging (SMS)

SMS consent and mobile information are never sold or shared for marketing.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except as required to deliver the messages themselves (our SMS provider, Twilio).

What we send: transactional notifications only — for example, work order dispatch alerts, reservation confirmations and status updates, and maintenance notifications. We do not send marketing or promotional text messages.
Consent: you receive texts only if you (or your organization) provide a phone number for notifications. Providing a phone number in the Service constitutes consent to receive these operational messages.
Message frequency varies based on activity in your account. Message and data rates may apply.
Opt out at any time by replying STOP to any message. Reply HELP for help, or contact us at the email below.

4. Service Providers We Share Data With

We share data only with the processors needed to operate the Service:

Twilio — SMS delivery (phone numbers and message content).
Twilio SendGrid — email delivery (email addresses and message content).
Stripe — payment processing (billing details).
Anthropic — AI document processing, when you use AI import features (document contents you upload).
Hosting providers — infrastructure on which the Service runs.

Each provider processes data only to perform its service for us. We do not sell personal information to anyone.

5. Data Belonging to Your Residents, Tenants & Vendors

If you are a resident, homeowner, tenant, vendor, or contractor whose information was entered by an organization that uses Multi Manager, that organization controls your data and how it is used. Contact them directly with questions; we will assist them in honoring deletion or correction requests.

6. Data Retention & Security

We retain data for as long as your account is active or as needed to provide the Service, then delete or anonymize it within a reasonable period. Data is encrypted in transit (TLS) and protected by access controls. No method of storage is 100% secure, but we work to protect your information using industry-standard practices.

7. Your Choices

Update account information at any time in your account settings.
Opt out of SMS by replying STOP; opt out of non-essential email via the link in any message.
Request a copy or deletion of your data by contacting us.

8. Children

The Service is not directed to children under 13, and we do not knowingly collect their information.

9. Changes to This Policy

We may update this policy from time to time. We will post the new version here and update the date above. Material changes will be communicated by email.
